Types of personal information we collect?

  3. Financial data, including bank details if you are successful in receiving a grant. If making a donation your bank details are provided to a third party such as Just Giving.
  4. Records of your correspondence and engagement with us. 
  5. Information you may enter on a Grant Application Form. This may include sensitive data such as information about health. We will normally only record this data where we have your explicit consent, unless we are permitted to do so.

We take proportionate and appropriate measures to ensure security and confidentiality of your personal information. We make sure your information is only accessed by relevant staff. Access to sensitive data is restricted to only those individuals that need this data in order to carry out their functions.  

How do we collect the personal information and why we have it?

We collect personal information directly from you when you communicate with us using any media or in person. You may give us information when:

  • Applying for a grant.
  • Making a donation to us.
  • Asking us about our activities.
  • To obtain information to improve our services.
  • To comply with applicable laws and regulations and requests from statutory agencies. 
  • To communicate with you regarding our work, fundraising and campaigning activities. 
  • To administer services, we are providing to you. 

Your information may be shared with us from other organisations such as fundraising sites like Just Giving. These independent third parties will only do so when they have told you your personal information will be shared and, generally, when you have indicated that you wish to support our foundation. You should check these organisations’ privacy policies when you provide your personal information to understand how they will use and share it. 

Personal information may be given to us indirectly by you when it is shared by third parties acting on our behalf, for example sub-contractors in technical, payment and delivery services. To the extent we have not done so already, we will notify you when we receive personal information about you from them and tell you how and why we intend to use that personal information.

When making a grant application we may need to gather personal information about your close family members and dependants in order to assess your eligibility for a grant and provide our services effectively. In such cases it will be your responsibility to ensure that you have the consent of the people concerned to pass their information on to us.

If you make a grant application a copy of your application form is stored in our website. A paper copy of the application is also retained on our computer systems and email system. 

We will also retain emails, letters and notes regarding our correspondence with you on our computer systems.

How long do we keep hold of your information?

During the course of our relationship with you we will retain personal data which is necessary to provide services to you. We will take all reasonable steps to keep your personal data up to date throughout our relationship. 

For grant applications that are unsuccessful we keep these for a period of 6 months

For successful grant applications we keep these for a period of 3 years. 

Accountancy records are kept for a minimum period of 6 years from the financial year end from which they are made. This is a minimum period, during which we have a legal obligation to retain your records.

We reserve the right to retain data for longer where we believe it is in our legitimate interests to do so.
